Privacy Policy

1. Introduction

Emirates Airlines Philippines ("we", "our", or "us") is committed to protecting the privacy and confidentiality of all information processed through the E-Invoicing System. This System is for internal use only and is accessible solely by authorized personnel of Emirates Airlines Philippines. It was developed and is maintained by Leepe Outsourcing Corp. ("Developer") as a third-party software provider. This Privacy Policy describes what data is collected, how it is used, and how it is protected in compliance with Republic Act No. 10173 (Data Privacy Act of 2012) of the Philippines.

2. Information We Collect

We collect the following types of information through the System:

• User Account Information: Name, username, email address, and role/department.
• Client & Customer Data: Business name, TIN, registered address, contact email.
• Financial Transaction Data: Invoice numbers, amounts, billing periods, exchange rates, payment status.
• System Usage Logs: Login timestamps, IP addresses, and actions performed within the System.

3. How We Use Your Information

Collected data is used for the following purposes:

• Processing and managing invoices, official receipts, and billing statements.
• Sending billing and official receipt emails to clients.
• Maintaining audit trails and financial records for compliance.
• Generating reports such as aging of receivables and BIR Form 2307.
• Authenticating authorized users and maintaining system security.

4. Sharing of Information

We do not sell, rent, or trade your personal data to third parties. Data may be shared only in the following circumstances:

• With authorized internal personnel of Emirates Airlines Philippines who require access to perform their duties.
• With Leepe Outsourcing Corp. as the system developer, solely for system maintenance, support, and improvement purposes, under a strict confidentiality agreement.
• With third-party service providers (e.g., Mailgun for email delivery, DigitalOcean Spaces for file storage) strictly for operational purposes and under confidentiality obligations.
• When required by law, regulation, or valid court order.

5. Data Storage & Security

All data is stored on secured servers. We implement industry-standard security measures including encrypted connections (HTTPS/TLS), hashed passwords, access controls, and activity logging to protect against unauthorized access, alteration, disclosure, or destruction of your data. Generated PDF documents (invoices, receipts) are stored in encrypted cloud storage (DigitalOcean Spaces).

6. Data Retention

Financial records and transaction data are retained for a minimum of ten (10) years in compliance with Philippine tax regulations and BIR requirements. User account data is retained for the duration of employment or authorized access, and for a reasonable period thereafter for audit purposes.

7. Cookies & Session Data

The System uses session cookies solely to maintain your authenticated login session. These cookies are not used for advertising or tracking purposes and are automatically deleted when you log out or close your browser.

8. Your Rights

Under the Data Privacy Act of 2012, you have the following rights regarding your personal data:

• Right to be Informed: Know how your data is collected and processed.
• Right to Access: Request a copy of your personal data held by us.
• Right to Rectification: Request correction of inaccurate personal data.
• Right to Erasure: Request deletion of data, subject to legal retention requirements.
• Right to Object: Object to processing of your data in certain circumstances.

9. Third-Party Services

The System integrates with the following third-party services which have their own privacy practices:

• Leepe Outsourcing Corp. — Third-party developer responsible for system development, hosting setup, and technical maintenance.
• Mailgun — Email delivery service for sending invoices and receipts.
• DigitalOcean Spaces — Cloud storage for PDF documents.
• Google reCAPTCHA — Bot protection on the login page.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be reflected with an updated effective date. Continued use of the System after such changes constitutes your acceptance of the revised policy.
